Smart Work Coding

Overview

Smart Work Coding™ is an AI-powered feature found in advanced legal time tracking platforms like Laurel that automatically assigns accurate billing codes to work activities. This technology eliminates the manual burden of UTBMS (Uniform Task-Based Management System) coding while ensuring compliance with client billing guidelines.

How It Works

Automatic Code Assignment Smart Work Coding™ uses AI to analyze work activities and automatically assign the correct billing codes based on:

• Type of activity (email, call, meeting, document review)
• Client matter
• Task characteristics
• Historical billing patterns

Integration with Work History Works alongside Smart Work History features that ensure every minute—from emails to calls to document work—is accounted for and properly categorized.

Key Benefits

Compliance Automation Ensures all time entries align with client-specific billing rules and UTBMS standards without manual review.

Time Savings Some platforms report being able to review and approve pre-bills with automatic UTBMS coding over 6x faster than ordinary billing systems.

Revenue Recovery Helps recover lost billable time. Since lawyers record only 2.9 billable hours per day on average with manual tracking, automated coding captures the remaining hours that would otherwise go unbilled.

Reduced Billing Disputes Accurate, compliant coding from the start reduces billing disputes and protects realization rates.

Industry Context

The Problem According to the 8am 2025 Legal Industry Report, 55% of law firms rank accurate time tracking among their top financial management challenges. Manual UTBMS coding is time-consuming and error-prone.

AI Solution Clio's 2024 Legal Trends Report found that 74% of billable work that's billed by the hour could be automated by generative AI, with coding automation being a prime candidate.
